Subscription & Billing
EduBook is a paid SaaS — once your 14-day trial ends, you pick a plan and either pay through PayPal directly from inside the app or paste an activation code your reseller gave you. This chapter covers the three tiers, what each includes, and how the billing lifecycle works.

Yearly is priced as 10× monthly — pay 10 months upfront, get 12 months of access.
You can switch between monthly and yearly when you renew. Switching in the middle of a term isn’t supported — wait for the renewal date.
How activation works
EduBook is offline-first. The desktop app stores your tenant data locally and only contacts our servers periodically to verify your subscription is active.
First-time activation
- After the trial ends (or before, if you want to commit early), open Settings → Subscription.
- Click Choose plan to upgrade via PayPal — you’ll be redirected to checkout, complete payment, and the activation happens automatically when you return.
- Or paste an activation code if your reseller gave you one.
Code format:
EDU-{year}-{8 chars}(e.g.EDU-2026-AB7CD3FG).
After activation, the lifecycle banner at the top of the app shows your new plan and renewal date.
Renewing
Renewal is automatic for PayPal subscribers. For activation-code customers, the reseller delivers a fresh code before expiry — paste it under Settings → Subscription → Replace code.
The lifecycle

You move forward through these states automatically based on time + payment. You move backward (e.g. expired → active) by paying or pasting a fresh code.
Trial
The trial is 14 days, no card required, full feature access. A countdown banner appears at the top of every page from day 11 onwards.
When trial ends, you drop into read-only state immediately (no grace period on trials — grace only applies to lapsed paid subscriptions). Open Settings → Subscription to upgrade or paste a code.
Upgrading mid-term
Going from Starter → Pro or Pro → Enterprise mid-term:
- Open Settings → Subscription → Upgrade.
- Pay the prorated difference for the rest of your current term, or paste a new code that includes the upgrade.
- New plan limits apply immediately.
Cancelling
Cancel via your PayPal subscription page. Self-service cancel inside EduBook is on the v1.5 roadmap.
After cancelling, you stay on active until the end of the period you’ve already paid for, then move to expired (no grace — grace is for failed renewals, not cancellations). Your data persists; renew any time to restore access.
Customer Portal
Settings → Billing is the customer portal. It shows your current plan + renewal date, your full payment history, and the controls for changing plan / cancelling / updating your billing email.
What you see on each row of the payment history:
- Provider badge — PayPal or Paymob, so you can find the matching record on the provider’s side.
- External ID — the transaction id at PayPal/Paymob. Click the row’s “View on provider” link to open it on their portal in your browser.
- Status — completed, pending, failed, or refunded.
- Filter to show only failed/pending if you’re hunting down a specific issue.
If your most recent renewal failed (card declined, expired, etc.) a retry banner appears at the top of the page with a one-click Retry payment button. The banner disappears automatically once the next attempt clears.
The Activity log at the bottom of Billing is a timeline of every status change for your subscription — useful for understanding why a status flipped, when grace started/ended, and which staff member triggered which change.
Using a discount coupon at checkout
The pricing page checkout has a Coupon code field. Type it, click Apply, and the price re-displays with the discount struck through and the new total below.
- The validation runs the moment you type a valid email + code, so you see the result before clicking pay.
- If you change the email after applying, the coupon re-validates — some coupons are scoped to specific email domains.
- You can also prefill from a marketing link:
?coupon=XXXXon the checkout URL auto-applies once the email becomes valid.
Common questions
My activation code was rejected. Three usual causes: expired (codes have a redemption window), already used (codes are single-use), or device mismatch (codes lock to your tenant on first redemption). The error message tells you which.
Trial expired but I haven’t decided yet. You stay in read-only — login still works, you can review your data, you just can’t make changes. Pick a plan whenever and write access comes back instantly.
I’m moving to a new computer. Sign out on the old machine first (frees a device slot), install on the new one, sign in. Tenant data is cloud-synced via the activation, so the new install pulls down the same data once authenticated.
WhatsApp says “upgrade to enable” but I’m on Pro. WhatsApp is Enterprise only. Pro doesn’t include WhatsApp notifications — only email and in-app.
I see “Grace period — payment failed”. PayPal couldn’t charge your card. Update payment method on PayPal, then click Retry payment in the banner. You have 7 days before read-only kicks in.
